About Expediting Logs

The Expediting Logs section of the Project Management Module has several different uses. In general, the Expediting Logs section can be used to build a log of items for collection, assign responsible parties and due dates, track various statuses, as well as send out email notifications to responsible parties based on those due dates. The Expediting Logs section has a project report that can be used to pull details on this input information. 


There are 3 typical uses for Expediting Logs. The main one is using it for a Submittal Register. Expediting Log items have the ability to be converted to Submittal Items within the Submittals section of the project. 


Submittal Register Expediting Log

The Submittal Register is the list of all submittals that will be due on the project and can be used for the tracking of submittal collection from the subcontractors. These submittals register expediting log items can then be converted to Submittal Items.

Pre-Construction Expediting Log

The Pre-Construction expediting log is typically the list of all pre-construction documentation that will need to be collected from all the different project collaborators. Once these items are collected and stored in their designated location, the expediting log items can be marked as closed.

Closeout Expediting Log

The closeout expediting log is the list of all closeout documentation that will need to be collected from all the different project collaborators. Once these items are collected and stored in their designated location, the expediting log items can be marked as closed.

Creating an Expediting Log

1. Navigate to the Expediting Logs section of the Project Management module


2. Select New Log in the top ribbon


3. Enter the Log Name and Log Description


4. Select the Notification Email Sender (who expediting log emails will be shown from). If no one is selected, it will default to the user creating the Expediting Log.


5. Select Save


The Expediting Log will be created in the section/subfolder where New Log was used. To open, simply select the log name in the Expediting Logs Grid. 



Creating Expediting Log Items within an Expediting Log

The best practice it to complete an Import from Excel. Items can be manually built utilizing the system expediting tools, however there are specific limitations in regard to the items created, whereas the import from excel gives the user full control over the information that is being input. 


Downloading the Expediting Log Item Import Template

1. Navigate to the Expediting Log where Expediting Log items are being created


2. Select Import in the top ribbon


3. Select the Download Template button to the right of the import screen to download a blank copy of the Expediting Log Import Template. 



Importing Expediting Log Items from Excel

Once the template is completed and saved locally, it can be imported from Excel. Please also see: Guidelines for Importing Expediting Log Items


1. Navigate to the Expediting Log where Expediting Log items are being created via import


2. Select Import in the top ribbon


3. Select the Browse button to find the locally saved Excel file. 

4. Select the file and use Open


5. Enter the sheet name that is being imported (if the sheet name was not changed while entering the data, the default is Sheet1 when the import template is downloaded.)


6. Select Upload File


7. In the mapping screen, double check that the source column is selected to match the destination field (field within the site). If no changes were made to Row 1 of the Import Template, all fields should automatically map to their appropriate field in the site. 


8. Select Import Log


The system will refresh to the Expediting Log with the newly created Expediting Log Items available

Responsible and Critical Notification Users

Automated Emails

Project Members that are assigned as the Responsible Member to expediting log items will receive automatic email notifications 10 days prior to the Required date, 5 days prior to the Required Date, and every Monday after the Required Date while the status of the expediting log item is in the status of Pending (more information about Expediting Log statuses in the next section).


Project Members that are assigned as the Critical Notified Member to expediting log items will receive automatic email notifications every Monday after the Required Date while the status of the expediting logs item is in the status of Pending (more information about Expediting Log statuses in the next section).


Assign a Responsible Member

1. Expand the Expediting Log main group (blue section)


2. Select the subgroup (tan section) that contains the expediting items being assigned to the responsible party


3. In the Project Member dropdown, select the Project Member from the dropdown that is being assigned


4. Select the blue Assign Responsible button to the right.


The screen will refresh and the responsible member will be assigned to the grouping of expediting log items


Assign a Critical Notified Member

1. Expand the Expediting Log main group (blue section)


2. Select the subgroup (tan section) that contains the expediting items being assigned to the Critical Notified Member


3. In the Project Member dropdown, select the Project Member from the dropdown that is being assigned


4. Select the blue Assign Critical button to the right.

The screen will refresh and the responsible member will be assigned to the grouping of expediting log items


Expediting Log Item Statuses

When Expediting Log items are created, they are all created in the status of Pending. There are 3 additional statuses that are available for Expediting Logs. As a reminder, the status of an expediting log will impact the automatic notification that is sent from the expediting log. Any Expediting Log item in the status of Pending with assigned parties meets the criteria to be sent. 

  • Pending - Default status of all new expediting log items
  • Approved - Non-Pending status that can be used on expediting log items
    • Select the expediting log item(s) that the status is being updated
    • Select Approval in the top ribbon
  • Closed - Non-Pending status that can be used on expediting log items 
    • Select the expediting log item(s) that the status is being updated
    • Select Close in the top ribbon
  • Converted to Submittal - Status of all expediting log items that have been converted to a submittal item

Edit Individual Expediting Log Items

1. Navigate to the Expediting Log item


2. Select the blue edit button to the left of the expediting log item.


3. Modify the expediting log item information as needed


4. Select Update to save the changes


Edit a Group of Expediting Log Items

1. Navigate to the Expediting Log Item Group


2. Select the Group hyperlink (in the tan group)


3. Modify the expediting log items within the group as needed


4. Select Update to save changes
