About the Guidelines for Importing Expediting Log Items

The best practice for building Expediting Logs is to create the Expediting Log Items via an import from Excel. The steps for importing are located within the Expediting Log solution article. The intent of this article is to go into more detail about the guidelines and usage of the import file, as well as the mapping of data from the import file to the StratusVue Platform website. 


At the very bottom of the Expediting Log article, sample expediting log item imports and a copy of the blank expediting lot item import template are provided as attachments. 


Expediting Log Item Importing Guidelines

  • Required Fields
    • Columns A:E of the import file are required for import. These columns are required for each Expediting Log item
      • Column A + B = Group 1 : Division - Division Description
      • Column B + C = Group 2 : CSI Code - CSI Description
      • Column D + E = Group 2 : Item Number - Item Description

  • Duplicate Item Numbers
    • Item Numbers, column E, cannot be used more than once per CSI Code. 
      • Each item number must be unique to each CSI code. 
  • Date Calculation Columns (H:O)
    • Columns J-N are day calculation columns for the expediting log items. These are used to drive the dates in columns H & O
      • Column J = Sub Submit Prep Time: the number of days the responsible party has to gather and submit information
      • Column K = Org Submit Prep Time: the number of days the GC/Middle Party has  to review, tweak, and process the submitted information to the Reviewer/Approver
      • Column L = Submit Review Time: the number of days the Reviewer/Approver will take to review and process the submitted information
        • For Expediting Log items that will be creating Submittal Items, this number will follow the Expediting Log item to the Submittal Item as the Submittal Review Time and override the number of days in project defaults
      • Column M = Lead Time: the number of days between approval/finalization of the item and the date in which the item needs/can be furnished
      • *N = Total Lead Time: the sum of all days entered in columns J:M (J+K+L+M = N). This is not an imported field. This field is available in the import for users that would like to see that total lead time within the import file. When the data in columns J:M are imported, the system automatically calculates the total lead time in the site.
    • Columns H & O are date columns for the expediting log items that can be populated using the day calculations above. Typically, either the Submit Date Required (H) or the Required-on Job date (O) will be entered into the appropriate field within the import, allowing the system to calculate the "other" (non-entered) date when the expediting log item is created within the Expediting Log based on the information entered into columns J:M
      • Column H = Submit Date Required: the date that the expediting log item is due from the responsible party 
      • Column O = Required on Job: the date the date that the expediting log item is expected on the project schedule
Submit Date Required + Total Lead Time = Required on Job Date (H+J+K+L+M = O)

Required on Job Date - Total Lead Time = Submit Date Required (O-M-L-K-J = H)

  • Formulas
    • Formulas cannot be imported. They can be used to calculate Total Lead Time (J+K+L+M) since total lead time is actually a calculated field during import, and not directly imported from column N
  • Formatting
    • There most be no formatting applied to the sheet that will be imported.
      • The only exception is that columns can be updated to text columns to include a leading 0 (i.e. CSI Codes 09 00 00, 09000)

Data Mapping

Sheet Mapping

Excel files can hold multiple sheets of data. Only one sheet at a time can be imported into the StratusVue Platform website. In the import process, the sheet name being used must be entered exactly as it appears within the spreadsheet when uploading the import file. 


Expediting Log Item Data Field Mapping

Below is the mapping screen that can be seen during the process of importing Expediting Logs. During this step in the process, the source information - or the import file information - is mapped to the appropriate data field within the StratusVue Platform website. It is imperative to confirm all data in the source file has a landing field within the website.



Once the expediting log items are all imported, the data entered into the import file will be shown within the Expediting Log.
