Key Terms
Bid Management - A module available within the StratusVue Solution website for managing all bid solicitations.
Bid Package - The item that holds all of the information regarding a bid. Created within the StratusVue Project.
Invitation to Bid (ITB) - The email notification sent out of a Bid Package.
Bid Documents - The files that supplement the Bid Package. These are held within one of the Document Module sections and referenced into the Bid Package.
Bidders - User and Contact Profiles that are added to a Bid Package within a project. By being a listed bidder of the bid package, bidders are able to access the bid package and associated bid documents.
Bidders by Division Grid - This is the Bid Package's Bidders list. It is organized by CSI code as they are assigned to the bidder. The CSI code list is driven by Organization Level List Management. A bidder's assigned CSI codes can be adjusted on a per bid package basis using the green BE "Bidder Edit" button.
Bid Package Fields
Project Information
The project information will automatically populate with the previously entered project information for the project. Project information can be found in Project Defaults
Project Name* (Required) - Typically this is the same as the project name that the bid package is being created. This is auto-populated and typically not changed.
Address - Typically this is the same as the project address that the bid package is being created. This is auto-populated and usually not changed
City - Typically this is the same as the project city that the bid package is being created. This is auto-populated and usually not changed.
State - Typically this is the same as the project State that the bid package is being created. This is auto-populated and usually not changed.
Zip - Typically this is the same as the project zip code that the bid package is being created. This is auto-populated and usually not changed.
Bid Package Information
The Bid Package information section will pre-populate with some information when the bid package is created. It is important to update the fields accordingly.
Bid Package Name - Auto populates with "New Bid Package". If the numbering is changed, the system will attempt to follow the same numbering scheme that is entered.
Number - Auto populates based on a 6 digit scheme; starting at 000001. If the numbering is changed, the system will attempt to follow the same numbering scheme that is entered.
CSI Code(s) - A location to manually list the CSI codes that are going to be included into this bid package. Typically this is used when multiple bid packages are being created for a project and broken down by scopes.
Bid Due Date / Time - The location to notate the Bid Due date and time. If the bid due date is unknown at the time, then the TBD checkbox should be selected.
Pre-Bid Meeting Date / Time - The location to notate the Pre-Bid Meeting date and time within the bid package.
Pre-Bid Meeting Location - The location to notate the location of the pre-bid meeting.
Public Bid Package - This checkbox makes the Bid Package a Public Bid Package. Please refer to Public Bid Packages for more details.
Description - The location to identify the core details and description of the Bid. The text and formatting that are entered here are included to the Invitation to Bid email when the Bid Package is sent.
Responsible Project Estimator / Assistant - The Organization User that is selected in this dropdown will receive all email notifications regarding the Bid Package. These emails include when a bidder updates their bidder intentions and/or posts a bid reply to the bid package.
Responsible Project Manager - The Organization User that is responsible for Bid.
Construction Start Date - The tentative construction start date for the project.
Construction Schedule Completion - The tentative construction completion date for the project.
Fax Bid Forms To - A place to include a fax number for bidders to fax their bids.
Plans Available Online After - The date to indicate the date the bid documents will be available on the StratusVue Platform Website for retrieval.
Show most current revision - For the referenced documents grid to automatically update with the latest version of the bid documents when it is revised
Email Title - The beginning text of the subject of the Invitation to Bid Email. The full subject of the email is the following fields: Email Title + Bid Package Name + Bid Package Number
Any changes of these fields will require use of the Update/Save button to save changes.
