About Uploading Documents to a Document Module Section
The Document Module sections of Plans, Specs, General & Photo, and Closeout Documents sections (or StratusDrive for Customers that have purchased StratusDrive as their Document Management Tool) are intended to be used to establish and maintain all documentation for the project.
Document numbers and titles are established in the project and files are uploaded and assigned to them. All documents have the ability to have the assigned file updated via a Document Revision, however the number and title remain consistent and must be unique
Create & Upload a New Document
Single Document Create & File Upload
1. Navigate to the Document Module Section and subfolder the document will be created
2. Select New Document in the Top Ribbon to open the Document Upload page to create a new Project Document
3. In the create new document page, enter the document's information
Required Fields: Title, Document Number, Issue Date
Optional Fields: Discipline, CSI Division, Status, Type, Issue, Notes
4. Select Browse at the bottom of the form to locate the locally saved file that should be associated with the document that is being created.
5. Once the file has been found, select the Save button
The screen will refresh to the documents grid of the document module section folder where New Document was used. The document that was created will be shown in the grid, including some of the details about the document. The file that is associated to the document is available for download and viewing from within the documents grid.
It is important to note that all document grids are able to be filtered using the filters within the columns.
Multiple Document Create & File Upload
1. Navigate to the Document Module Section and subfolder the document will be created
2. Select New Document in the Top Ribbon to open the Document Upload page to create a new Project Document
3. In the create new document page, select the Multiple Documents checkbox to enable the multiple document generation function. The page will refresh.
4. Do NOT enter a Title or Document Number when using the multiple documents uploader, this information will be assigned in a later step. The Discipline, CSI Division, Status, Type, Issue, Issue Date, and Notes can be included at this time and will all be applied to all the files that are uploaded in the next step. All of this information, with the exception of Notes, can be modified or changed on a per document basis in step 8.
5. Select the Upload button under the Multiple Documents checkbox
6. In the Pre-Fill Document Information section, select the pre-filled document information that should be used in the next screen for populating the Document Number and Document Title
- None = No document number or title will be assumed and will need to be manually input in the next page
- Number and Title based on filename (Default) = The filename of the file uploaded to be associated with the document being created will be assumed as the document number and title and can be updated in the next page
- Auto-Increment based on a 3 digit scheme = The document numbers will be added starting at 001, 002, 003, etc. and no document title will be assumed. The document title will need to be added in the next page.
7. Either drag and drop or use the Add more files button to locate the locally saved files that should be associated with the documents that are being created. Select Upload
8. In the next screen, assign or edit the Document Number and Document Title (this was determined by selection made in Step #6), assign or edit the Discipline, CSI Division, Status, Type, Issue, and Issue Date as needed
9. Select Save
The screen will refresh to the documents grid of the document module section folder where New Document was used. The documents that were created will be shown in the grid, including some of the details about the document. The file that is associated with each document is available for download and viewing from within the documents grid.
