About the Hyperlink Tool
The hyperlink tool allows for different functions to be performed on PDF files, including the ability to split and link a bound set of files to individual sheets. This hyperlink function allows for drawings to be hyperlinked automatically as a background process by the hyperlink AI. Additional options include the ability to have individual sheets that are hyperlinked, bound sets that are hyperlinked, and a Summary Report that can be used as a drawing log.
Using the Hyperlink Tool to Split and Link a Bound Set
To user the hyperlink tool, users must be logged into the local StratusDrive application and have an active StratusDrive with Hyperlink subscription.
1. Navigate to the PDF file within StratusDrive that is being hyperlinked
2. Right click on the file to open the StratusDrive context menu
3. Select Hyperlink Files by Kenesto
4. Select Bound Set Split and Link and the applicable additional options
BoundSet Split and Link
The hyperlink tool will split the individual sheets out from the combined set. The individual sheets will include hyperlinks between the individual sheets. After the set is split and linked, a Summary Report is provided as an Excel file, which provides a drawing log.
Bind Multiple Sheets After Split
Selecting this option will allow the hyperlink tool to include hyperlinks within the original combined set. This is in addition to the individual linked sheets. This returns a Linked Bound Set and linked individual sheets.
Get Sheet Number Only
Selecting this option will allow the hyperlink tool to name the linked individual sheets that are returned using on the Sheet Number. (If this is not selected, the individual linked sheets will include the Sheet Number and Sheet Title as the filename)
Export Tables from Sheets to Excel
Selecting this option will allow the hyperlink tool to also extract any Tables/Schedules within the combined set to be extracted to an Excel file. A Tables subfolder will be included with the hyperlink tool is complete the hyperlink process and will include all tables found within the drawings as an Excel file.
5. Select OK at the bottom to start the hyperlink tool
While the Hyperlink tool runs, users still have full functionality on their devices - the hyperlink runs in the background. As the tool is processing the files, users will see a notification on their main screen showing the progress. Once the hyperlink tool is complete, the notification goes away and the hyperlinking is complete.
When the tool is completed, a folder with the same name is the original file is created.
This folder contains all of the results of the hyperlink tool, including/using the options selected in Step #4 above.
Navigating Linked Sets and Viewing Additional Resources
Viewing & Navigating Individual Linked Sheets
For all files that are Split and Linked, linked files can be viewed within the folder that is created during the linking process.
1. Navigate to the location of the PDF file within StratusDrive that was hyperlinked
2. Open the folder named the same as the original file that was hyperlinked
3. Open the Title Sheet from the set (this can be done using the computer's default PDF viewer or by using the built-in StratusDrive PDF viewer and editor)
4. In the drawing index of the title sheet, hyperlinks to each individual sheet have been included. Select a sheet to open the linked individual sheet
5. Within the individual sheets, hyperlinks have also been included to views that point to a different sheet. These can be used to open additional individual hyperlinked sheets as needed (or jump to if individual sheet PDF is already open)
At the bottom of each individual sheet, additional navigation options are also included.
The double arrow left, and double arrow right will open (or jump to if individual sheet PDF is already open) the first or last sheet in the active discipline.
The single arrow left, and single arrow right will open (or jump to if individual sheet PDF is already open) the previous or next individual sheet in the set.
The home icon will open (or jump to if PDF is open) the Title Sheet.
Viewing and Navigating a Linked Bound Set
In order to get a linked bound set, users must select "Bind Multiple Sheets After Split" when Using the Hyperlink Tool to Split and Link a Bound Set
1. Navigate to the location of the PDF file within StratusDrive that was hyperlinked
2. Open the original file that was split and linked
3. In the drawing index of the title sheet, hyperlinks to each sheet in the combined set have been included. Select a sheet to open the linked sheet within the combined set
4. Within each sheet of the linked bound set, hyperlinks have also been included to views that point to a different sheet. These can be used to jump to that sheet within the linked bound set.
At the bottom of each sheet of the linked bound set, additional navigation options are also included.
The double arrow left, and double arrow right will jump to the first or last sheet in the active discipline within the linked bound set.
The single arrow left, and single arrow right will jump to the previous or next sheet page within the linked bound set.
The home icon will jump the Title Sheet within the linked bound set.
Viewing the Summary Report
For all files that are Split and Linked, a Summary Report is provided by the hyperlink tool as an Excel file.
1. Navigate to the location of the PDF file within StratusDrive that was hyperlinked
2. Open the folder named the same as the original file
3. Locate and open the Summary Report file
The Summary Report will contain a table providing the details about each individual sheet including the page number, filename, sheet number, section number, version number, and the number of callouts(hyperlinks). This file can double as a current drawing log.
Viewing Tables Exported to Excel
In order to have tables found within the set and exported to Excel, users must select "Export Tables From Sheets to Excel" when Using the Hyperlink Tool to Split and Link a Bound Set
1. Navigate to the location of the PDF file within StratusDrive that was hyperlinked
2. Open the folder named the same as the original file
3. Locate and open Tables folder
4. Each sheet will have it's own folder. All Tables that are exported can be found within that sheet's folder.
