The Email Notification

The out-of-the-box RFI email notification is shown below. Below the image, there is an explanation for each section of the email. 



i. General Information

This section of the RFI email notification advises the overview of the RFI. This also provides Project Members a direct link to go to the RFI in the System.  Clicking on the RFI number hyperlink will bring users straight to the RFI within the site (after a valid login). Please see below Topic: Responding to an RFI within the Site.

 

ii. Post a Reply to this RFI

This is the RFI Quick Reply hyperlink. This additional hyperlink allows the collaborating Project Member one-click access to a reserved screen where they can participate in the RFI discussion/post a reply and include additional attachments. Please see below Topic: Responding to an RFI with Quick Reply.

 

Note: If the email received does not contain a Quick Reply Link, please contact the Project Administrator as Quick Reply is a Project Setting controlled by the Owning Organization.

 

iii. Download Attachments as a zip file

This link will allow the recipient of the RFI to download all of the attachments that are attached or referenced into the RFI into a single zip file.


Note: At this time - the printed PDF is not included within the Download Attachments as zip file, but will be in a future release - then making this the one click option to retrieve the Cover-sheet and the Attachments

 

iv. Print Options

Print without Attachments:

This link will allow the recipient of the RFI to print the RFI coversheet right from the email. 

 

Print with Attachments:

This link will allow the recipient of the RFI to print the RFI and any compatible attachments to compile into a single PDF for viewing PDF Attachment Compiling Compatibility

 

v. Download individual attachments

Links listed here will allow the recipient of the RFI to choose which attached files to download. Each attachment will be listed and selecting the filename link will initiate the download of the file.

 

vi. Posted Replies

This section is a quick snapshot of all posted replies that are available within the RFI's discussion thread



Responding to an RFI Using Quick Reply (Recommended)

Note: If the email received does not contain a Quick Reply Link, please contact the Project Administrator as Quick Reply is a Project Setting controlled by the Owning Organization.

 

1. From the email notifications (shown above in section ii ) select the Post a Reply to this RFI link to access the Quick Reply screen. This will open the computer's default browser to the Quick Reply screen

2. In the Quick Reply screen, enter the reply to the RFI in the Reply Box

Note: Using the Do not send notifications checkbox will post the reply without sending notifications to the listed collaborators of the RFI

3. Include any supplemental attachments into the Attachments section by selecting the Add New Attachment button

4. In the pop-up, drag and drop the file or use Browse file(s) button to navigate to the storage location where the file is located 

5. Once the status icon of the file(s) turns green, select Upload File(s) at the bottom

6. Select the Post Reply button in the top ribbon


When the reply has been successfully posted, the respondent will receive a confirmation the reply has been posted and the window can be closed. The listed collaborators (To, From, and CC's) will receive an email notification notating that a reply has been posted and provide the ability to Download the RFI as a PDF or go straight to the RFI in the system. 

The response is posted to the discussion thread of the RFI and will be included in all prints


Responding to an RFI from within the Site

1. From the email notification, select the RFI Number listed next to Go to RFI in System

2. If not already logged into the StratusVue platform in the default browser, enter your Username and Password

3. Once logged in, the user will be taken right into the RFI. The top portion of the RFI includes all of the information regarding this RFI

4. Scroll to the Reply section of the RFI

5. Enter the reply to the RFI in the Reply box

6. Select Send Reply - this will generate the same email that is created using Quick Reply shown above

Note: Using the Do not send Notification checkbox will post the reply without sending notifications to the listed collaborators (To, From, CC's) of the RFI 

7. To include any supplemental attachments, scroll the attachments section drag and drop the file(s) into the gray section

8. Once the status icon of the file(s) turns green, select Upload File(s) at the bottom
