About Project Management Folder Access

In addition to Project Member Permissions, subfolders within the Project Management module have their own security called Folder Access. Folder Access can only be controlled at the project level, therefore folder access cannot be defined by a User Role.


Assigning Project Management Folder Access 

There are two ways that folder access can be assigned. The first way is from within a Project Member's permissions grid within the Project Members section. Updating folder access this way allows users to assign permissions for one project member to multiple folders at once. The second way is from within the folder itself within the Project Management section. This way, users can assign folder access to multiple project members to the same folder at once. 


From the Project Member's Permissions Grid

1. Navigate to the Project Members section of the Project Setup Module


2. Open the project member profile by selecting them within the Project Members grid


3. Open the Permissions Tab of the project member


4. Locate the Project Management section that the folder resides and use the expand arrow the left to show a listing of all folders created within that section.


5. Assign the applicable folder access permissions

  • Read allows the user to read ONLY items inside the folder that they are assigned a collaborator of (To, From, CC, Responsible, etc.) Collaboration allows for the Project Member to upload attachments, participate in discussions, and add CC users (where applicable).
  • Write allows the user to create new items within the folder as well as create additional subfolders. 
  • Delete allows the user to delete or remove within the subfolder.
  • Read-all can be layered on top of read to allow the project member to see all items inside the folder, whether or not they are assigned as a collaborator. Allows for collaboration on all items inside the subfolder.


6. Select Update


From the Project Management Subfolder

1. Navigate to the Project Management section that the folder resides and open it.


2. In the top ribbon, select the Folder Access button


3. If your Project Member is listed in the folder access grid, skip to step 5. If a Project Member is not listed, select Add in the top to add Project Members to the access list of the folder. 


4. Select the Project Members that should be added to the access list for folder access permissions to be controlled and select Assign

5. In the access list, assign the folder access permissions to each project member listed in the access grid.

  • Can Read allows the user to read ONLY items inside the folder that they are assigned a collaborator of (To, From, CC, Responsible, etc.) Collaboration allows for the Project Member to upload attachments, participate in discussions, and add CC users (where applicable).
  • Can Modify allows the user to create new items within the folder as well as create additional subfolders. 
  • Can Delete allows the user to delete or remove within the subfolder.
  • Can Read All That can be layered on top of read to allow the project member to see all items inside the folder, whether or not they are assigned as a collaborator. Allows for collaboration on all items inside the subfolder.


6. Select Update
